Department Summary: NYAM Development is responsible for driving and implementing the comprehensive fundraising strategy for NYAM, raising the philanthropic profile of the institution across New York City, and expanding and diversifying the NYAM base of support from individual, corporate, and foundation donors. The team works closely and in collaboration with all departments, under the direction of the Vice President of Development, and in service to advancing the NYAM mission.

Position Summary/Overview: The Manager of Development Operations plays a central role in strengthening and streamlining the fundraising infrastructure of the organization. This position is responsible for building, implementing, and managing standard operating procedures, optimizing the use of Salesforce to support fundraising efforts, managing a growing pipeline of support, and ensuring accuracy in gift processing and reporting. This role also plays a critical part in advancing fundraising goals through strategic prospect identification and research analysis, as well as tracking and managing campaign activity.

This position reports to the Vice President of Development.

Essential Duties and Responsibilities:

Data Management, Integrity & Gift Processing:

• Oversee the use of Salesforce for the Development Team.

• Design and implement dashboards and reports designed to support frontline staff in managing assigned portfolios through the donor cycle.

• Monitor and analyze key performance metrics.

• Track and rate prospects through a moves management system to support cultivation and solicitation strategies.

• Track and report on campaign metrics, activity, and progress to goal.

• Ensure the accuracy, confidentiality, and integrity of all prospect data in the database.

• Create and maintain documentation for all Development Operations processes and protocols.

• Identify opportunities to streamline processes, improve data integrity, and ensure consistent usage across the team.

• Serve as a liaison with finance to complete revenue reconciliation and audits as needed.

• Serve as the lead for all gift processing systems, execute regular gift entry, tax receipts and acknowledgement letters.

• Ensure accuracy, timeliness, and compliance in gift entry and acknowledgment.

• Support execution of annual direct mail and e-Appeals. Prospect Research:

• Conduct comprehensive research on individual donors, foundations, corporations, and other potential funding sources using publicly available information sources, databases, and tools.

• Develop and maintain detailed prospect profiles, bios and briefings for meetings and events.

• Proactively identify new prospects and conduct relationship mapping to support fundraising strategy.

• Research donor biographical information, keeping all donor records up to date.

• Prioritize and respond promptly to assigned projects and research requests, ensuring timely and accurate delivery of information.

• Work with Development team and leadership to ensure a robust and diverse donor pipeline.

General:

• Provide support in the planning and execution of NYAM fundraising and stewardship events.

• Perform additional project management, operations, and administrative duties to support the overall goals of the development team and NYAM’s fundraising efforts.

• Foster and maintain productive relationships with colleagues throughout NYAM.

Required Knowledge, Skills, and Experience:

• Excellent interpersonal abilities, with the capability to work effectively and collaboratively with a diverse range of audiences. The ability to function both independently and as an integral member of a team.

• Capacity to manage multiple projects and adapt to shifting priorities while adhering to deadlines. Detail-oriented, strong organizational and project management skills are essential.

• Excellent communications skills, both written and verbal.

• Experience in Salesforce (or other fundraising CRMs) a plus.

• Systems-oriented, analytical thinker.

• Flexibility and a solutions-focused attitude.

• Proficient in Microsoft Office Suite.

• Demonstrated understanding of and commitment to the values of equity, access, and belonging.

• Bachelor’s degree required, with at least three years of experience in project management, operations, administrative, development, and/or non-profit role.

This position is based in New York City. Staff work in a hybrid environment with some flexibility, pending the needs of the department. The current expectation of this position is a minimum of two days a week on-site, in addition to staff or organizational events.
